About VendFront

What the platform is, who it serves and how it differs from a basic online shop.

What is VendFront?

VendFront is a white-label digital ordering platform for vending, office coffee, micro-market, water-service and workplace refreshment businesses. It connects a branded customer storefront with business checkout, order management, fulfilment and repeat ordering.

Is VendFront an ecommerce website or an ordering system?

VendFront includes an ecommerce storefront, but it is designed as a complete ordering system. The customer-facing shop connects directly with customer accounts, order records, fulfilment statuses, staff workflows and administration tools.

Who is VendFront designed for?

VendFront is designed for vending operators, office coffee services, micro-market providers, bottled-water services, breakroom suppliers and related convenience-service businesses that receive repeat product orders from workplaces or managed locations.

What business problem does VendFront solve?

VendFront replaces fragmented orders received by phone, email, spreadsheet, text message or manual form with one structured online process. This reduces repeated data entry, incomplete order details and time spent clarifying routine customer requests.

Is VendFront a marketplace?

No. VendFront is a white-label platform built around the operator’s own brand, catalogue, customers and service model. Customers buy from the vending or refreshment provider rather than from a shared third-party marketplace.

Is VendFront available in New Zealand?

Yes. VendFront is built for New Zealand operators and supports NZD pricing, GST settings, New Zealand address conventions, four-digit postcodes, delivery and collection terminology, and local business-ordering workflows.

02

Customer ordering

How customers browse, order, save details and return for regular supplies.

How do customers place an order with VendFront?

Customers open the branded storefront, browse or search the catalogue, add products to a cart and complete a business-ready checkout. The order then enters the operator’s shared order-management workflow.

Can customers search a large product catalogue?

Yes. VendFront provides category browsing, indexed search, live search suggestions, filters and individual product pages. The search foundation is designed to keep larger catalogues practical to explore.

What is Quick Shop?

Quick Shop is a compact ordering view for customers who already know what they need. It lets them search products and adjust several quantities quickly without opening each individual product page.

Does VendFront support repeat ordering?

Yes. Signed-in customers can review order history, return to saved products and rebuild a previous cart. Quick Shop also shortens routine replenishment orders.

Can customers order from a phone or tablet?

Yes. The storefront, search, cart, checkout and customer-account areas use responsive layouts designed for mobile, tablet and desktop screens.

Can customers save products for later?

Yes. Customer accounts include saved-item and wishlist features. Customers can also compare products and email a wishlist to a colleague or purchasing contact.

Can a customer see previous orders?

Yes. Authenticated customers can view their order history and open individual order records. This creates a consistent reference point for previous purchases and repeat ordering.

03

Accounts and business checkout

Saved locations, purchase orders, account details and business purchasing requirements.

Does VendFront provide customer accounts?

Yes. Customer accounts support profile details, password management, order history, saved items, product comparison and delivery-address management.

Can customers save multiple delivery locations?

Yes. A customer can maintain saved delivery addresses for different offices, branches or service locations and select the appropriate location during ordering.

Does checkout support purchase-order references?

Yes. VendFront’s business checkout can collect a purchase-order reference alongside company, contact, location and order-note information.

Can VendFront support account customers?

Yes. The checkout and customer records are designed for business-account ordering. The exact payment and approval process can be configured during implementation to match the operator’s commercial workflow.

Does VendFront support NZD and GST?

Yes. Store settings support New Zealand dollars and GST-aware pricing and order totals. The configuration can reflect whether displayed prices include or exclude GST.

Can customers add delivery instructions or order notes?

Yes. Checkout captures order notes so site access, delivery preferences, contact instructions or other fulfilment context can remain attached to the order.

Does VendFront support delivery and collection?

Yes. Operators can offer delivery, collection or both, with configurable delivery charges, free-delivery thresholds and customer fulfilment instructions.

04

Catalogue, pricing and offers

Products, categories, availability, commercial pricing and catalogue maintenance.

How are products managed in VendFront?

Authorised administrators can create and update products, SKUs, brands, categories, subcategories, units, descriptions, images, prices, sale prices, barcodes, availability and stock status.

Can an existing product catalogue be imported?

Yes. VendFront includes CSV product import using defined catalogue fields such as SKU, name, brand, category, unit, price, sale price, stock status, description and image.

Does VendFront support categories and subcategories?

Yes. Products can be organised into categories and subcategories so customers can browse a structured catalogue as well as use search.

Can operators create promotions or quantity pricing?

Yes. VendFront supports sale pricing, quantity discounts, bundle-style offers and promotional catalogue presentation. The available setup depends on the selected plan and configuration.

Can a product be marked as call for price?

Yes. Products can use a call-for-price workflow when a fixed public price is not appropriate, directing the customer toward an enquiry rather than a standard cart purchase.

How does VendFront handle unavailable products?

Products can be marked out of stock, hidden from the active storefront or placed into a catalogue-review workflow. This helps prevent customers ordering items that should not currently be sold.

05

Orders and fulfilment

What happens after checkout and how teams process orders day to day.

What happens after a customer submits an order?

The order is recorded with customer, product, pricing, location, PO and fulfilment details. Authorised staff can then review it and move it through the configured preparation and completion workflow.

Which order statuses does VendFront support?

The operational workflow supports statuses including pending, packing, ready, delivered and cancelled. Status history provides a traceable record of progress.

Can fulfilment staff have focused access?

Yes. Staff workspaces can provide fulfilment users with access to the orders and actions needed for preparation without giving them the full administrator experience.

Can the team produce order documents?

Yes. VendFront provides detailed order views and downloadable PDF order slips that can support customer records and fulfilment activity.

Can customers track an order?

Yes. VendFront includes an order-status journey so customers can check the current state of an order using the available tracking details.

What reporting is available?

Administration reporting covers order performance, customer activity and product demand, with operational data suitable for review and export. Exact reporting needs can be discussed during the business evaluation.

Does VendFront send order communications?

VendFront includes email-service support and order-confirmation workflows. WhatsApp confirmation capability is also present where the operator configures and uses that channel.

06

Administration and security

Access controls, session protection, audit records and operational safeguards.

How is the administration area protected?

VendFront uses authenticated administrator access, secure sessions, CSRF protection, login throttling and security-sensitive activity records. Production setup can also require a dedicated administrator setup key.

Can administrator access be restricted by IP address?

Yes. The production configuration can optionally restrict the administration area to an explicit list of trusted IP addresses.

Do administrator sessions expire?

Yes. Administrator sessions expire after inactivity and also have an absolute maximum lifetime, reducing the risk created by unattended signed-in sessions.

Are important administrator actions recorded?

Yes. Security-sensitive POST actions can be written to an administrator audit log, creating a record of important changes and operational activity.

Can different team members have different access?

Yes. VendFront separates administrator and fulfilment-staff experiences. The implementation can be structured so team members use the workspace appropriate to their responsibilities.

Is VendFront a hosted cloud service?

VendFront is a web-based PHP and MySQL application deployed to a secure web-hosting environment. Hosting, backups, monitoring and operational responsibilities are defined as part of the implementation arrangement.

07

Implementation, pricing and support

How to evaluate, configure, launch and extend a VendFront implementation.

How much does VendFront cost?

VendFront uses fit-based pricing rather than a single public price. A tailored quote considers catalogue size, required capabilities, users, workflow complexity and implementation needs.

What VendFront plans are available?

VendFront offers Essentials, Growth and Scale starting points. Essentials covers core digital ordering, Growth adds stronger repeat-ordering and team capabilities, and Scale supports larger or more tailored implementations.

What is the free business evaluation?

The free evaluation is a focused 20-minute Google Meet that reviews how customers order today, identifies practical time-saving opportunities and recommends a suitable VendFront plan and launch path.

How long does implementation take?

Implementation time depends on catalogue readiness, branding, customer and location requirements, pricing rules, fulfilment configuration and any tailored work. A realistic launch plan is provided after the evaluation.

What information is needed to start?

Useful starting information includes the product catalogue, business identity, customer types, pricing approach, delivery or collection rules, current ordering channels and the team’s fulfilment process.

Can VendFront match an existing brand?

Yes. VendFront is white-label and can be configured around the operator’s business name, logo, colours, catalogue and customer-facing service information.

Can VendFront integrate with accounting, inventory or route systems?

The platform has a foundation that can be extended for external systems, but a specific integration should not be assumed. Each accounting, inventory, payment or route-management requirement is assessed for technical fit and implementation scope.

Can I see VendFront before committing?

Yes. The password-protected demo shop shows the customer ordering journey, and the administration demo shows the operator experience. A personalised demonstration can then focus on your catalogue and workflow.

Choosing a digital ordering system

What should a vending operator evaluate?

A useful system must work for both the customer and the fulfilment team. Evaluate the full journey, not only the storefront.
